How this ranking works

One method for every tool. We compared documented features and published prices; we did not run hands-on tests. Value carries the most weight.

ValueFeaturesEase of use

This list is for team leads and operations managers comparing per-user prices and plan limits before they commit a team to one tool. We compared documented features and published prices on each vendor's own pricing page and scored value at 40%, features at 35% and ease of use at 25%. The starting price is the cheapest paid plan in USD per user per month unless noted. Where a vendor's page only showed euros from our location, the price is marked as pending rather than converted.

The verdict

ClickUp packs the most into a low seat price: Gantt charts, goals, custom fields and 1,000 automations a month on Core at $9 per user billed yearly, plus a free plan with unlimited members. Trello is the cheapest paid option at $5 per user and the fastest for a team to learn, but its timeline and calendar views sit on Premium. Asana costs more at $10.99 per user and gives the most polished reporting and workload tools on its upper plan. Jira is the clear pick for software teams, and Zoho Projects is worth a look for budget-minded teams that track time and project costs.

Best forTeams that want Gantt charts, custom fields and automations at a low per-seat price, and are willing to spend time on setup.

ClickUp earns the top spot because its entry tier covers what most project teams upgrade for. The Free Forever plan already has unlimited tasks, unlimited free members, Kanban boards, a calendar view, sprint management and time tracking, so a small team can trial it for real work without paying. Core costs $9 per user per month on yearly billing, against a $12 regular price, and adds unlimited Gantt charts, custom fields, unlimited storage, goals, guest permissions and 1,000 automations a month. Business at $17 adds advanced dashboards, resource management, timesheets and 10,000 automations, which is where agencies and larger teams will land. The trade-off is complexity: ClickUp has so many views, fields and settings that someone needs to own the setup, and new users can take longer to find their way around than in Trello or Basecamp. Free plan storage is also capped at 60 MB. For teams comparing feature lists against seat prices, it delivers the most.

    • ✓Core at $9 per user billed yearly includes Gantt charts and goals that rivals keep for higher tiers
    • ✓The free plan has no member cap and includes time tracking
    • ✓One tool can replace separate docs, chat and form apps
    • ✕Free plan storage is limited to 60 MB
    • ✕The number of options makes initial setup slower than simpler tools
    • ✕Timesheets and resource management need Business at $17 per user billed yearly
    Free plan:
Yes, unlimited free members, 60 MB storage
    Cheapest paid plan:
Core, $9 per user per month billed yearly
    Regular price:
Core $12 per user per month
    Paid tiers:
    Core, Business, Enterprise, Max
    Automations:
    1,000 per month on Core

Bottom line: ClickUp gives the most project management features per dollar on this list, with Gantt charts and automations on its $9 Core plan. Plan for setup time before rolling it out to a whole team.

    Asana

    8.5/10

A work management platform for planning projects, tracking goals and balancing team workloads.

Best forGrowing teams that want polished timelines, reporting dashboards and portfolio views and can pay a higher seat price.

Asana is the most rounded tool here for teams that plan across several projects at once. The Starter plan, at $10.99 per user per month billed annually or $13.49 monthly, has no seat limit and adds timeline and Gantt views with dependencies, reporting dashboards, forms, custom fields, custom templates and unlimited automations. Unlimited free guests mean clients and partners can join without adding seats, which helps agencies keep costs predictable. Advanced at $24.99 adds portfolios, goals, resource management, approvals and proofing, and time tracking that compares estimated with actual effort. The price is the main drawback. Asana's entry seat costs more than ClickUp Core or Trello Standard, and the free Personal plan now covers only two people, so it is a trial rather than a team plan. AI features are included on paid plans, with extra AI requests sold at $0.50 each. If your team values a clear interface and strong reporting over the lowest seat price, Asana is worth the premium.

    • ✓Starter has no user seat limit and lists unlimited automations
    • ✓Unlimited free guests keep client collaboration costs down
    • ✓Clean interface that most teams adopt quickly
    • ✕The free Personal plan only covers 2 users
    • ✕Starter at $10.99 per user costs more than twice Trello's entry seat
    • ✕Goals, portfolios and resource management need Advanced at $24.99 per user billed annually
    Free plan:
Yes, Personal plan for up to 2 users
    Cheapest paid plan:
Starter, $10.99 per user per month billed annually

    Paid tiers:
    Starter, Advanced, Enterprise, Enterprise+
    AI requests:
    $0.50 per pre-paid request

Bottom line: Asana is the most polished planner on this list, with timelines, dashboards and unlimited automations on Starter. It costs more per seat than ClickUp and Trello.

Best forSmall teams and individuals who want simple boards that anyone can learn in minutes, at the lowest paid price.

Trello is the easiest tool here to put in front of a team that has never used project software. Work lives on boards of lists and cards, and the free plan already allows unlimited cards, up to 10 boards per Workspace, unlimited Power-Ups and 250 Workspace command runs a month for up to 10 collaborators. Standard is the cheapest paid seat on this list at $5 per user per month on annual billing, or $6 monthly, and removes the board limit while adding advanced checklists, card mirroring, custom fields, larger file uploads and 1,000 command runs. The limitation is depth. Calendar, Timeline, Table, Dashboard and Map views all sit on Premium at $10 per user billed annually, so teams that need to see deadlines across projects will pay double the entry price. Trello also has no built-in workload or resource planning. For small teams running straightforward task flows, it is the best price to simplicity ratio we found.

    • ✓Standard at $5 per user billed annually is the cheapest paid seat on this list
    • ✓Boards and cards are quick for new users to pick up
    • ✓Unlimited Power-Ups per board even on the free plan
    • ✕Timeline, calendar and dashboard views need Premium at $10 per user billed annually
    • ✕The free plan stops at 10 boards and 10 collaborators per Workspace
    • ✕Less suited to dependencies and resource planning than Asana or Wrike

Standard $6, Premium $12.50 per user

Best forSoftware and IT teams that run sprints and backlogs and want a free plan for up to 10 users.

Jira is the default choice for software teams, and its pricing is better value than its reputation suggests. The free plan covers 10 users and includes unlimited goals, projects and tasks, plus backlog, list, board, timeline, calendar and summary views, 150 automation steps a month and 2 GB of storage. Standard costs $8.48 per user per month on monthly billing, and Atlassian says annual billing saves up to 17%. It adds user roles and permissions, external collaboration, Rovo search, chat and agents, 400 automation steps per user per month and 250 GB of storage. Premium at $15.56 adds cross-team planning, dependency management, approvals, unlimited storage and a 99.9% uptime SLA. The pricing page calculates the bill from the team size you enter, so check your own headcount. Jira's terminology and workflow settings are built for engineering, which makes it slower for marketing or operations teams to adopt than Asana or Trello. For development teams it is hard to beat.

    • ✓Free plan covers 10 users with timeline and calendar views
    • ✓Standard at $8.48 per user on monthly billing is below most rivals
    • ✓Annual billing saves up to 17%
    • ✕Built around software workflows, which can feel heavy for business teams
    • ✕Free plan automation is capped at 150 steps a month
    • ✕Cross-team planning needs Premium at $15.56 per user per month

    Maximum users:
Up to 100,000 per site on Standard

Best forBudget-minded teams that need timesheets, approvals and project budgets on an entry-level plan.

Zoho Projects stands out for putting finance and time controls on its first paid tier. The free plan covers up to five users with three projects, subtasks, a whiteboard, 5 GB of storage and mobile apps. Premium removes the project limit and adds custom views and statuses, task blueprints, project budgets with earned value management, time logs, timesheets with multi-level approvals and 5,000 workflow executions a month. Enterprise adds single sign-on, two-factor authentication, a portfolio dashboard, critical path and baselines. Zoho's page showed us euro prices only, so we mark the USD price as pending rather than convert it. The interface packs in many options and takes longer to learn than Trello or Asana. For teams that bill by the hour or report on project costs, Zoho Projects covers more on its entry plan than most rivals.

    • ✓Timesheets, approvals and project budgets on the entry paid plan
    • ✓Free plan for up to 5 users
    • ✓Connects with other Zoho apps such as Analytics and WorkDrive
    • ✕USD prices were not shown to us, so the starting price is pending

Best forTeams that want colorful, customizable boards and are ready to pay for Standard to get timeline and Gantt views.

monday.com is the most visual tool on this list, and its boards are among the easiest to shape around a team's process. The free plan allows up to two seats, three boards and three Docs with more than 200 templates. Basic adds unlimited items and unlimited free viewers, plus a monthly AI credit allowance. Standard is where most project teams will need to start, because timeline, Gantt and calendar views, guest access and 250 automation and integration actions a month all begin there. Pro adds private boards, time tracking, advanced columns and 25,000 automation actions a month. The pricing page lets you pick a team size and shows an 18% saving on yearly billing. From our location the page only displayed euro prices, so we mark the USD price as pending. On value, monday.com loses points because the views most project teams need sit on its second tier. On ease of use it is one of the strongest options here.

    • ✓One of the easiest board builders to customize
    • ✓Unlimited free viewers from Basic up
    • ✓Pro includes time tracking and a large automation allowance
    • ✕USD prices were not shown to us, so the starting price is pending

Best forTeams of 2 to 15 people that need interactive Gantt charts and shareable dashboards on a $10 plan.

Wrike suits teams that run projects with real schedules and dependencies. The free plan includes project and task management, board and table views and apps for Windows, Mac, iPhone and Android. Team costs $10 per user per month and adds interactive Gantt charts, a shareable dashboard and AI Essentials such as comment summaries and natural language automation rules. The catch is the user band: Team is sold for 2 to 15 users, so once a company grows past that, Business at $25 per user for 5 to 200 users becomes the main option. That jump makes Wrike less attractive on value than ClickUp or Asana for mid-sized teams. Business adds templates and more AI features, while Pinnacle, priced on request, adds budgeting and advanced resource and capacity planning. A 14-day free trial needs no credit card. Wrike's interface is capable but takes more learning than Trello or monday.com. For small teams that live in Gantt charts, Team is a fair price.

    • ✓Interactive Gantt charts on the $10 Team plan
    • ✓Free plan with board and table views
    • ✓14-day free trial without a credit card
    • ✕Team is limited to 2 to 15 users
    • ✕Business at $25 per user is a large step up for growing teams

Best forTeams that want project tracking inside the same tool as their docs and wiki.

Notion is not a dedicated project management tool, but many teams run projects in it because their docs and wiki already live there. Its databases support subtasks, dependencies and custom properties even on the free plan, which is aimed at individuals and includes basic forms, published sites and Notion Calendar. Plus is for small teams and adds custom forms, custom sites, charts built from database data and file uploads, while Business adds more AI features. Notion says yearly billing saves up to 20%, and AI agents run on credits sold at $10 per 1,000 after a free trial. Our pricing page load showed euro prices only, so the USD starting price is pending. The trade-off is that Notion gives you building blocks rather than ready-made project views: you set up the databases, views and templates yourself, and there is no workload or capacity planning to match Asana or Wrike. For teams that want specs and tasks in one place, the convenience can outweigh the setup work.

    • ✓Docs, wiki and project databases live in one workspace
    • ✓Free plan includes databases with subtasks and dependencies
    • ✓Yearly billing saves up to 20%
    • ✕USD prices were not shown to us, so the starting price is pending

Best forTeams used to spreadsheets that want Gantt charts and formulas, with many view-only contributors.

Smartsheet is the natural step for teams that already plan projects in spreadsheets. Its grid supports rich formulas, and the Pro plan adds Gantt, table, board and calendar views, unlimited sheets, forms and reports, conversational AI features and 250 automations a month. Pro costs $9 per Member per month on yearly billing, or $12 monthly, and covers 1 to 10 Members with unlimited free Contributors, so people who only update rows do not need a paid seat. Business costs $19 per Member yearly and is the step for larger groups. Smartsheet has no free plan, which hurts it against ClickUp, Trello and Jira for teams that want to try before paying. The spreadsheet model is powerful for schedules and trackers but less inviting for people who prefer cards and boards, so adoption outside planning roles can be slower. For project managers who think in rows, columns and formulas, it is a strong fit.

    • ✓Familiar grid for teams moving off spreadsheets
    • ✓Unlimited free Contributors keep seat counts low
    • ✓Pro at $9 per Member billed yearly includes Gantt view
    • ✕No free plan
    • ✕Pro is limited to 1 to 10 Members

Bottom line: Smartsheet brings Gantt charts and formulas to a familiar grid for $9 per Member billed yearly, with free Contributors. The lack of a free plan and the 10-Member cap on Pro hold it back on value.

Best forSmall businesses and client-service firms that want flat monthly pricing and simple project spaces.

Basecamp prices by plan rather than by seat, which changes the math for larger groups. Freelancer costs $29 a month for three projects, 10 GB of storage and up to five users. Pro at $79 raises that to eight projects and ten users and adds templates and multiple tools per project, while Pro Plus at $99 covers 12 projects, 15 users and adds time tracking. Pro Unlimited is $199 a month billed annually for unlimited projects, unlimited users, 1 TB of storage, enhanced admin controls, priority support and personal onboarding. Each project bundles message boards, chat, card tables, to-dos and schedules, which keeps client work in one place and is easy for outsiders to follow. The weak spot is planning depth: there are no Gantt charts, workload views or dependencies, and the lower plans cap projects tightly. For small teams the per-seat tools are cheaper, but for a company with dozens of people and clients, the flat Pro Unlimited price can come out well ahead.

    • ✓Pro Unlimited at $199 a month billed annually covers unlimited users
    • ✓Very simple for clients and non-technical staff
    • ✓30-day free trial
    • ✕No Gantt charts or dependency planning like Wrike or Asana
    • ✕Freelancer excludes templates, multiple tools per project and time tracking
    • ✕Lower plans cap the number of projects, from 3 on Freelancer to 12 on Pro Plus

What to check before you pay

01

Check where the views you need start

Gantt and timeline views are the most common reason to upgrade. ClickUp includes unlimited Gantt charts on Core at $9, Asana adds timeline and Gantt on Starter at $10.99, Wrike adds interactive Gantt charts on Team at $10, while Trello keeps timeline and calendar views for Premium at $10 per user on annual billing.

02

Read the user caps on each plan

Several tools limit plans by headcount. Asana's free Personal plan covers 2 users, monday.com's free plan covers up to 2 seats, Zoho Projects' free plan covers 5, and Jira's free plan covers 10. Wrike's Team plan is sold for 2 to 15 users, and Smartsheet's Pro plan for 1 to 10 Members with unlimited free Contributors.

03

Compare annual and monthly seat prices

Annual billing lowers the per-seat price on most plans. Asana Starter is $10.99 a seat yearly against $13.49 monthly, ClickUp Core $9 against $12, Smartsheet Pro $9 against $12, and Trello Standard $5 against $6. Jira's pricing page shows monthly rates by default and says annual billing saves up to 17%.

04

Count automation and AI allowances

Automation limits differ widely at the same price. ClickUp Core includes 1,000 automations a month, Smartsheet Pro 250 a month, monday.com Standard 250 actions, and Asana Starter lists unlimited automations. AI features are often metered separately: Asana sells pre-paid AI requests at $0.50 each and ClickUp pools AI credits per user.

05

Consider flat pricing for larger groups

Per-seat pricing gets expensive as a team grows. Basecamp charges by plan instead of by user: Pro Unlimited is $199 a month billed annually with unlimited users and projects, which can cost less than per-seat tools once a company passes a few dozen people.
