How this ranking works

One method for every tool. We compared documented features and published prices; we did not run hands-on tests. Value carries the most weight.

ValueFeaturesEase of use

This list is for freelancers, consultants and small businesses that bill clients and want to know what invoicing really costs. We compared documented features and published prices, and every price below was copied from the vendor's own pricing page. Rankozo weights value at 40%, features at 35% and ease of use at 25%, so cheap tools with real feature depth rank higher than expensive suites.

The verdict

Most small businesses should start free. Zoho Invoice and Invoice Ninja cover recurring invoices, online payments and a client portal at $0, and Wave adds unlimited invoices and basic bookkeeping on its free Starter plan. Pay for FreshBooks ($23 per month for Lite) or QuickBooks Online ($38 per month for Simple Start) only when you need accounting reports, more clients or team access, and watch the introductory discounts, because both revert to full price after a few months.

Best forFreelancers and small businesses sending up to 500 invoices a year who want to pay nothing.

Zoho Invoice is the best value on this list because it charges nothing and still covers the full billing cycle. You can send quotes, convert them to invoices, set up recurring invoices, schedule automatic payment reminders and give clients a self-service portal, which several paid tools reserve for higher tiers. Time logging and simple project tracking are included, so consultants can bill hours without a second app. The limits are the price you pay: two users, three projects and 500 invoices a year, plus "Powered by Zoho Invoice" branding on documents. Zoho says it offers 24/5 email and voice support, which is unusual for a free product. A business that outgrows the caps is pointed toward Zoho Billing or Zoho Books, which are paid. For a solo operator or a two-person shop sending fewer than about 40 invoices a month, it is hard to justify paying for anything else.

    • ✓Costs nothing, with no paid tier to upsell you into
    • ✓Includes features other vendors charge for, such as reminders and a client portal
    • ✓Connects to Zoho CRM, Zoho Books and Zoho Analytics
    • ✕Capped at 500 invoices per year and 3 projects
    • ✕Only two users per account
    • ✕Invoices carry "Powered by Zoho Invoice" branding

    Users:

Bottom line: The strongest free invoicing app we compared, with reminders, recurring billing and a client portal at $0. Move on only when you pass 500 invoices a year or need more than two users.

Best forFreelancers who want unlimited clients for about $12 a month and the option to self-host.

Invoice Ninja gives the most invoicing features per dollar of any paid tool here. The free plan already handles unlimited invoices for up to five clients, with recurring invoices, auto-billing, deposits, partial payments and a client portal. Pro removes the client limit and adds automatic late-payment reminders, custom invoice designs, a REST API and automatic US sales tax calculation for $14 a month or $140 a year, which works out to $11.67 a month. Enterprise starts at $18 a month for one or two users and adds user permissions, bank sync through Yodlee or GoCardless and PEPPOL e-invoicing. The interface exposes many settings, so it takes longer to set up than Wave or Invoice Simple. It also runs on macOS, Windows, Linux, iOS and Android, and the company offers self-hosting for teams that want to keep data on their own servers. Paid plans carry a 30-day money-back promise.

    • ✓Pro costs $140 a year for unlimited clients and invoices
    • ✓Native apps for macOS, Windows, Linux, iOS and Android
    • ✓Free plan already includes recurring billing and a client portal
    • ✕Payment reminders and branding removal require Pro
    • ✕More settings to learn than Invoice Simple or Wave
    • ✕Bank account sync is limited to Enterprise
    Free plan:
    Yes, up to 5 clients
    Pro:
$14 per month or $140 per year
    Enterprise:
$18 per month for 1 to 2 users, up to $300 for 51 to 100 users
    Refund window:
30-day money back on paid plans

Bottom line: The cheapest way to get unlimited clients, reminders and API access in one invoicing tool. Expect a slightly steeper setup than simpler apps.

Best forSole proprietors who want unlimited free invoices plus basic bookkeeping in one place.

Wave's free Starter plan lets you create unlimited estimates, invoices, bills and bookkeeping records, which makes it the cheapest route to unlimited invoicing on this list. Customers can pay by card or bank transfer through the invoice, and invoices can be sent from the mobile app. The catch is payment cost: card payments on Starter cost 2.9% plus $0.60 each, so a business that collects mostly by card pays for Wave through fees. Pro, at $19 a month or $190 a year, cuts the fixed part of the card fee to $0 for the first 10 transactions each month, imports and categorizes bank transactions, captures unlimited receipts, removes Wave branding and sends automatic reminders 3, 7 and 14 days after the due date. Wave also sells payroll from $40 a month and bookkeeping help through Wave Advisors. Support is limited to chat and email on weekdays, which is thin compared with QuickBooks.

    • ✓Free plan has no invoice or client cap
    • ✓Invoices and bookkeeping share one ledger
    • ✓Pro cuts card fees to 2.9% plus $0 for the first 10 transactions each month
    • ✕Free plan card fee is 2.9% plus $0.60, higher than most rivals
    • ✕Late payment reminders and bank import require Pro
    • ✕Support is chat and email only, weekdays 9 AM to 4:45 PM Eastern
    Free plan:
    Yes, Starter
    Pro:
$19 per month or $190 per year
    Card fee, Starter:
    2.9% + $0.60 per transaction
    Payroll add-on:
From $40 per month in the US

Bottom line: The best free option if you need unlimited invoices and simple books together. Upgrade to Pro once card volume makes the lower fees pay for themselves.

Best forService businesses that bill time and want polished invoices with accounting reports in one tool.

FreshBooks has the most complete invoicing feature set among the accounting suites we compared, and it is the easiest of them to use. Every plan includes unlimited customized invoices, estimates, automated recurring invoices, scheduled late fees, payment reminders, time tracking and expense tracking. Clients can pay by card, ACH, Apple Pay, Google Pay or buy now, pay later through Affirm, Afterpay or Klarna. The weak point for a value-focused buyer is how pricing scales. Lite lists at $23 a month but bills only 5 clients, Plus costs $43 for 50 clients, and Premium costs $70 for unlimited clients. Each extra team member adds $11 a month, and Advanced Payments adds $20 a month below Select. The 80% discount for the first 4 months softens the first bill, but plan on full price after that. If you have more than a handful of clients and do not need double-entry reports, Invoice Ninja does the invoicing part for far less.

    • ✓Clean invoicing workflow that is easy for clients to pay
    • ✓Time tracking and expenses included on every plan
    • ✓30-day free trial with no credit card required
    • ✕Lite bills only 5 clients, and Plus caps at 50
    • ✕Team members cost $11 per month each
    • ✕Promo pricing ends after 4 months, then full price applies
    Plans:
    Lite, Plus, Premium, Select
    Client limits:
5 on Lite, 50 on Plus, unlimited on Premium
    Extra team members:
    $11 per month per user
    Payroll add-on:
$40 per month plus $6 per user

Bottom line: The best paid invoicing experience for service businesses, with time tracking and reports built in. Client caps make it expensive once you pass 50 clients.

Best forBusinesses that already take payments with Square and want invoices on the same account.

Square folds invoicing into every Square plan, so the free tier already sends unlimited invoices, recurring invoices on daily to yearly schedules, deposit requests and automatic reminders. A project workspace keeps invoices, estimates, contracts and notes together. You pay through processing instead of a subscription: card payments made through an invoice cost 3.3% plus 30 cents on Square Free and 2.9% plus 30 cents on Plus or Premium. ACH payments cost 1% with a $1 minimum, and Plus and Premium cap that at $10. Plus, at $49 a month per location, adds custom invoice templates and milestone-based payment schedules, which mostly suits businesses with many invoices or large card volumes. The free plan is the clear value pick for shops already on Square. Businesses that need accounting reports will still need QuickBooks, Xero or Wave alongside it, since Square syncs payments but does not keep a full ledger.

    • ✓Free plan sends unlimited invoices with no monthly fee
    • ✓Invoices share customers and payouts with Square's point of sale
    • ✓ACH invoice payments are capped at $10 per payment on Plus and Premium
    • ✕Card payments on invoices cost 3.3% plus 30 cents on the free plan
    • ✕Plus pricing is per location, so multi-site businesses pay more
    • ✕No double-entry accounting; you still need a bookkeeping tool

Best forSmall businesses that want invoicing inside full accounting that most US accountants already know.

QuickBooks Online is the most capable accounting suite on this list, and its new QuickBooks Free tier lowers the entry cost to $0 for basic accounting and invoicing. Paid plans start with Simple Start at $38 a month, discounted to $19 for the first three months, for one user and two accountant seats. Invoices accept cards and bank transfers through QuickBooks Payments, with status updates and reminders, and automated bookkeeping matches transactions to the categories you use. Essentials, at $85 a month, adds three users and bulk invoice creation, and Plus at $140 adds project profitability, budgets and inventory. The value problem is the jump between tiers: a two-person business that needs separate logins goes from $38 to $85. QuickBooks also has more screens than an invoicing app, which slows down people who only want to bill clients. Choose it when you want your accountant working in the same file.

    • ✓Free tier needs no credit card
    • ✓Most US accountants and bookkeepers already use it
    • ✓Scales from 1 user on Simple Start to 25 on Advanced
    • ✕Simple Start costs $38 a month after the 3-month discount
    • ✕Essentials, the first multi-user plan, costs $85 a month
    • ✕More menus and settings than invoicing-only apps

    Yes, QuickBooks Free
    Simple Start users:
    1 user plus 2 accountants
    Essentials users:
    3 users
    Contract:
    No annual contract, cancel anytime

Bottom line: The safest pick when invoicing has to live inside full accounting. Expect to pay $85 a month once you need more than one user.

Best forOnline and software businesses that already use Stripe and want invoices with no monthly fee.

Stripe Invoicing charges nothing up front. Instead it takes 0.4% of each paid invoice on Starter or 0.5% on Plus, on top of normal Stripe Payments processing fees. That model is cheap for a business that sends a few large invoices and already runs on Stripe, and expensive for one that invoices heavily by card, because the percentage never stops. Features are strong: each invoice gets a hosted page, customers can manage payment details in a prebuilt portal, failed payments are retried automatically with email reminders, and ACH credit and wire payments are reconciled to invoices. Plus adds quotes. Everything is available through the API, which is the main reason to choose it. Owners who want a simple form to fill in will find FreshBooks or Square easier, and Stripe offers no bookkeeping, so you still need accounting software for reports and taxes.

    • ✓No fixed fees or setup costs
    • ✓Strong API for automated billing
    • ✓Accepts cards, bank transfers and wallets through Stripe Payments
    • ✕The 0.4% fee stacks on top of card processing fees
    • ✕Quotes require the Plus plan at 0.5% per paid invoice
    • ✕Built for developers and online businesses more than trades

    Starter:
    0.4% per paid invoice
    Plus:

Bottom line: The best fit for Stripe users who want API-driven invoices with no subscription. Model the 0.4% fee against your volume before committing.

Best forSmall businesses that want accounting with strong bank reconciliation and are fine with invoice caps on the entry plan.

Xero is a full accounting system with good invoicing, but its pricing makes it a weak pick for anyone who mainly sends invoices. Early lists at $27 a month after an 80% discount for the first three months, and it caps you at 20 invoices and 5 bills. To invoice without a limit you need Growing at $59 a month, which also adds automated bill entry, a 60-day cash flow forecast, custom dashboards and auto-reconciliation. Established, at $97, adds multiple currencies, project time and cost tracking, and expense claims. What you get for that money is solid: bank reconciliation, real-time reports, W-9 and 1099 management, sales tax and free domestic ACH bill pay are included from Early up. Payroll comes through Gusto as an add-on at $36 a month plus $6 per person. For pure invoicing, Wave or Zoho Invoice cost far less; Xero earns its place when you also want forecasting and clean books.

    • ✓Sales tax and 1099 tools included from the entry plan
    • ✓Forecasting and dashboards are strong for the price
    • ✓Payroll through Gusto plugs into the same ledger
    • ✕Early allows only 20 invoices and 5 bills
    • ✕Unlimited invoicing starts at $59 a month on Growing
    • ✕Auto-reconcile costs $5 a month extra on Early
    Early limits:
    20 invoices and 5 bills
    Growing:
    $59 per month
    Established:
$97 per month, adds multi-currency and projects
    Payroll add-on:
$36 per month + $6 per employee or contractor, via Gusto

Bottom line: Good accounting with forecasting, but the 20-invoice cap on Early pushes real invoicing to $59 a month. Pick it for the books, not just the invoices.

Best forFreelancers and small agencies that want proposals, contracts and invoices in one workflow.

Bonsai is a client management tool first and an invoicing tool second, which explains its price. Invoicing and payments appear on Essentials at $19 per user per month billed annually or $25 billed monthly, alongside proposals, contracts, forms, scheduling, a client portal and income and expense tracking. The cheaper $9 Basic plan covers time tracking, tasks and a CRM but not invoices, so it does not count for this list. Premium, at $29 per user annually, adds Gantt views, a deals pipeline, profitability reports, branding removal and integrations with QuickBooks, Xero, Zapier and Calendly. For a solo freelancer who sends a proposal, signs a contract and invoices from the same record, that bundle can replace three tools. For a business that only needs invoices, it is the most expensive option on this list per user, and a five-person team on Essentials pays $95 a month before any card fees.

    • ✓Proposal, contract and invoice in one client workflow
    • ✓Time tracking and project tools included
    • ✓Annual billing saves up to four months of fees
    • ✕The $9 Basic plan does not include invoicing
    • ✕Priced per user, so costs rise with team size
    • ✕Removing Bonsai branding requires Premium at $29 per user
    Plans:
    Basic, Essentials, Premium, Elite

$19 per user per month annually, $25 monthly
    Premium:
$29 per user per month annually, $39 monthly

Best forTradespeople who send a few invoices a month from a phone.

Invoice Simple does one job, creating estimates, invoices and receipts on a phone, and it does it with fewer taps than any other app here. Client and item details autofill, customers can pay online, and read receipts tell you when an invoice was opened. The pricing is built around invoice counts. Essentials costs $6.99 a month but allows only 3 invoices, Plus costs $14.99 for 10 invoices and adds due date reminders, photos and summary reports, and Premium costs $21.99 for unlimited invoices plus client signatures, premium templates and deposits. Paying annually gives two months free. That makes it the cheapest paid tool for someone who sends two or three invoices a month, and one of the pricier ones for anyone who sends more, since Zoho Invoice and Wave send unlimited invoices for $0. There is no bookkeeping, so you will still need somewhere to track expenses.

    • ✓Very quick to create an invoice on a phone
    • ✓Lowest paid entry price on this list
    • ✓14-day free trial
    • ✕Essentials allows only 3 invoices a month
    • ✕Unlimited invoices cost $21.99 a month

    Premium:

What to check before you pay

01

Price the plan you will actually need

Entry plans are capped. FreshBooks Lite bills only 5 clients, Xero Early allows 20 invoices, Invoice Simple Essentials allows 3 invoices a month and Zoho Invoice stops at 500 invoices a year. Count your clients and monthly invoice volume first, then price the plan that fits, not the headline number.

02

Separate software fees from payment fees

The subscription is only part of the cost. Card payments on invoices cost 2.9% plus 30 cents on Square's paid plans and 2.9% plus 60 cents on Wave's free plan, and Stripe Invoicing adds 0.4% per paid invoice on top of its card fees. On $10,000 of monthly card payments, processing costs can exceed the software fee several times over, so compare ACH bank transfer options too.

03

Read the promo terms

Decide if you need accounting or just invoices

Pure invoicing tools such as Invoice Ninja, Zoho Invoice and Invoice Simple are cheaper and quicker to learn. Accounting suites such as QuickBooks, Xero and FreshBooks cost more but add bank reconciliation, financial reports and accountant access, which saves money at tax time if you would otherwise pay a bookkeeper to rebuild your records.

FAQ

What is the cheapest invoicing software?

Zoho Invoice, Wave Starter, Square Free and Invoice Ninja Free all cost $0 a month. Among paid plans, Invoice Simple Essentials is cheapest at $6.99 a month but allows only 3 invoices, so Invoice Ninja Pro at $140 a year is the cheapest paid plan with unlimited clients and invoices.

Is free invoicing software good enough for a small business?

For most freelancers and small service businesses, yes. Zoho Invoice includes recurring invoices, reminders and a client portal for up to 500 invoices a year, and Wave sends unlimited invoices with basic bookkeeping. You usually pay through card processing fees rather than the software itself.

How much do invoice payment fees cost?

Card payments on invoices typically cost 2.9% plus 30 cents on Square's paid plans and 3.3% plus 30 cents on Square Free. Wave charges 2.9% plus $0.60 on its free plan. Stripe Invoicing adds 0.4% per paid invoice on top of Stripe's card fees.

Should I use accounting software or a standalone invoicing app?

Use a standalone app such as Zoho Invoice or Invoice Ninja if you only need to bill clients and get paid. Choose QuickBooks, Xero or FreshBooks if you also want bank reconciliation, financial reports and accountant access, but expect to pay $23 to $38 a month or more after introductory discounts end.
